Manage Task progress (Workflow/Kanban)

Managing and keeping track of your most important tasks has never been easier. From visually tracking the progress, to effortless collaboration, you can get your most important work done efficiently.

 

When you're working on your projects, you might want to add more information inside your tasks. To do that, simply click any tasks. You'll see the task panel pop up on the right. Here, you have a couple of different options. For example, you can add a cover image to make your tasks more visual, and easier to identify.       

 

Next, you can change the status of your task. Click on the Status drop down menu to change it.

Your tasks can have 3 states: In progress, completed, and on hold.

All of these are visually represented on the board, so everyone can know what's happening with a task at a first glance.       

As you're working on your tasks, you can visually update the progress. Simply move the progress slider. When you move the slider to 100%, your task status will automatically change to Completed (in some AYOA plans, this can result in the task being archived automatically. Head to top right > Task Board View > Archived to review these).

 

Some tasks are more urgent than others, and you want to make sure you prioritise the most important ones. To do that, you can add urgency and importance levels. You can change these by clicking on the boxes next to the lighting and flag icons.

There are 3 urgency levels you can choose from:  Normal Urgency, High Urgency and Very High Urgency. Once you choose a level, the right icon will show on your Task.

 

If you have some tasks that you want to keep a close eye on, you can add them to your planner. 'My Planner’ helps you prioritise your personal workload by only showing you the tasks that you’re assigned to.

 

Here, you're able to schedule your tasks in Now, Next and Soon boards, and work around a time that suits you.

Nobody else will be able to view your planner and you will not be able to view anybody else’s. To add your task directly from the task sidebar, simply click the drop-down menu next to My Planner, then choose either Now, Next or Soon. Once you selected an option, a blue tag will appear on your task.

To access your planner, go to the notebook icon right next to the home icon at the top right hand corner.

 

Adding start and due dates to your tasks is quick and easy. In the task sidebar, click on the Start and Due date options to schedule your task. You can choose a specific time for each date, and also add reminders to make sure you don't miss out on anything.

       

You can also assign people to your tasks, and collaborate on your task boards. To assign someone, go to the Assigned section, and click on the Add Assignee icon. Select one of your contacts, and they will now get access to your task.        

 

If you want, you can also change the location of your tasks, and move them across different boards. Go to the Task Location section, and select the board you want to move your task to. You can even select a specific category inside the new board, and your task will show up there.
